Glossary of Meeting Planner Jargon

  • Attendees
    All of those people who are attending or who are in attendance – would include registrants and invited guests.
  • Keynote Speaker
    In public speaking the word keynote refers to the principal underlying theme of a larger idea hence the topic that a keynote speaker addresses usually relates to the reason or purpose behind a meeting.
  • Keynote Address
    Or keynote speech is delivered to set the underlying tone and summarize or reinforce the core message of an event.
  • Breakout Session
    An interactive session with a speaker or facilitator who has expertise in the topic being discussed. Attendees will have the opportunity to ask questions, make comments, and engage in discussion with the speaker or facilitator.
  • Speaker's fees
    The fee a speaker charges to provide the service or services requested.
  • Travel Expenses
    Typically consist of round-trip airfare, ground transportation, gratuities, accommodation and meals on-site. Travel expenses are in addition to a speaker’s fees unless otherwise stated.
  • Presentation style
    The way a speaker delivers their presentation. If you were to describe their “presentation style” you might say it was “dynamic, “motivational”, “inter-active”.
  • Timeline
    A line representing a span of time and having a series of points of action. A sequence of related events arranged in chronological order of when they need to be acted upon.
  • Audio visual
    Either refers to the components used such as sound and video, the production itself or the equipment used for the presentation or production. In a typical presentation, the presenter provides the audio by speaking, and supplements it with a series of images projected onto a screen, either from a slide projector, or from a computer connected to a digital projector using software such as PowerPoint.
  • Seating Plan
    The way the chairs and/or tables are laid out in your meeting room.
  • Corporate Sponsorship
    To sponsor something is to support an event, activity, person, or organization financially or through the provision of products or services. A sponsor is the individual or group that provides the support. Corporate sponsorship is often done in exchange for publicity.
  • Green Meeting
    A green meeting or event incorporates environmental considerations to minimize its negative impact on the environment.
  • Meeting Planner
    A person who is in charge of planning a meeting or event. Meeting planners handle logistics, hotel arrangements, food and beverage, room-sets, travel schedules.
